Photocopiers Buyers' Guide

When you have settled on the volume, speed and different functions you require from a digital copier, it's time to look more closely at specific models. Doing things in this order has a big advantage: you will be able to decide based on what is important to you, rather than burying yourself in manufacturers' spec sheets which offer copious functions for which you have no real use.

Don't be overly concerned if a model that satisfies your real requirements also boasts a host of additional functions. You won't necessarily pay more for these features and you may well find that they become more and more handy as your business grows.

Digital Copier Options: Desktop or Floor Standing?

If space is at a premium in your place of business then a desktop photocopier which crams all the basic functionality into the smallest possible space might be your best bet. Desktop copiers will often only handle smaller paper sizes (e.g. A4 and smaller) and will lack the capacity for expansion through add-on modules for sorting, finishing etc. They might also copy at a lower speed than a comparable flor-standing model.

A much greater range of features and add-ons becomes available when you start considering floor-standing machines. These include:

  • Sorting
  • Binding
  • Stapling
  • Folding
  • Automatic document feeder
  • Transparency handling

A floor-standing machine will also be able to handle greater quantities of paper and more paper sizes at once by the virtue of multiple trays.

Digital Copier Options: Colour or B&W?

Whether you need a black and white or colour copier will largely be determined by your business type and how you ointeract with clients. If you host a lot of meetings which require handouts or produce printed promotional literature or reports for your clients then a colour copier is a must. If you only talk to clients via phone and you can get away with black and white then you could be looking at savings of up to 30% on consumables.

When deciding between different models of colour copier you'll need to obtain samples of the quality of the printed colour output. No dealer should object to providing such samples - after all, you need to know what you're paying for. You can also look online for reviews of particular makes and models though these are often less abundant for office products than they are for consumer goods.
