Why is Photocopier Leasing So Popular?

Almost every office in the UK has a copier. Whether it's a modest desktop model for occasional use or a multifunctional colour machine that churns out 100 pages per minute, many people regard a copier as a vital piece of business equipment.

The cost of a good quality copier for a small to medium-size concern, however, is between £2,000 and £8,000. On top of this, you also have to bear the costs of a maintenance contract, repairs and eventual replacement. And if your business expands, you may find you have to trade in your copier for a faster, upgraded model sooner than you think.

This is why a lot of businesses consider a copier lease. The advantages are

Payments

You can lease a copier for any period between one and five years. The longer the length of the lease contract, the cheaper the payments.

You can make these payments weekly, monthly, quarterly or annually. For an average copier, expect to pay £40 - £125 per month. This is the base price, however. If you exceed a pre-arranged monthly limit on the number of copies made, the leasing company will charge you extra. Such an approach is common practice because the more a copier works, the more likely it is to need servicing and repairs.

Your first payment will usually be in advance. A company might also ask you for a deposit, but if you're unhappy about this, get a quote from another company.

Tax efficiency

Although leasing a copier costs you more in the long-term, you can offset your payments against tax. This can help your cash flow: if you buy a copier outright, the capital allowance against tax in any one year is never more than 50% of the purchase price.

Upgrading your copier

As your business develops you may need to change your copier - you may want a colour rather than a black and white model, for instance. Therefore, ask your leasing company to include the chance to upgrade in your contract. You may find that with technological developments and increasingly competitive prices, you'll pay just a few pounds extra per month for a copier far superior to your original leased machine.

Service agreements

Your contract with a leasing company should include servicing and repairs. This can prove to be a significant saving over arranging and paying for a service agreement if you own your copier.

Check any leased copier service agreement carefully, however. Ensure it covers all labour and parts, and ask about response times for emergency repairs. Also confirm that the leasing company will replace the copier if it gives you consistent problems.

Further copier leasing tips
  • Number of copies. Before you commit to an agreement, calculate how many copies you're likely to make each month. It can even pay you to increase this estimate to avoid additional charges.
  • Toner and paper. Be wary of leasing companies that demands you buy toner and paper from them. There's no need to sign a deal that can increase your costs substantially.
  • Occasional use. If you plan to make fewer than forty or so copies a day, you may be better off buying one of the many basic, inexpensive copiers that are available.
  • Demos. Before you make a final decision on a copier, ask if you can see some of them in action. This is an ideal opportunity to make sure the model you lease is suitable for your proposed use.
  • Small print. Always read the small print of your lease agreement. You want it to reflect your future needs such as the ability to upgrade or to end the agreement at short notice.
